Privacy Policy
Rapid Response Systems LLC ("we," "our," or "us") operates the Rapid Response Receptionist service. This Privacy Policy describes how we collect, use, and protect information from our business subscribers and the callers who interact with our service.
Information We Collect
From Business Subscribers: Business name, owner name, phone number(s), email address, business type, service area, and payment information processed through Stripe. We do not store credit card numbers directly.
From Callers: When a caller reaches our automated receptionist service, we collect the caller's phone number (via caller ID), name (if provided), description of their service need, zip code (if provided), and preferred callback time. We also record call audio and generate transcripts for quality assurance and service delivery.
How We Use Information
We use collected information solely to operate and deliver the Rapid Response Receptionist service. Specifically, we use information to answer missed calls on behalf of our subscribers, generate and deliver SMS lead notifications to subscribers, improve our call handling quality, process subscription payments, and communicate with subscribers about their account.
Information Sharing
We do not sell, rent, or share personal information with third parties for marketing purposes. We share caller information only with the specific business subscriber whose phone line the caller dialed. We use third-party service providers (Twilio for telephony, Stripe for payments, Supabase for data storage) to operate our service. These providers process data solely on our behalf under their respective privacy policies.
Data Retention
We retain call logs and lead data for the duration of a subscriber's active account plus 90 days after cancellation. Subscribers may request deletion of their data at any time by contacting us.
Data Security
We implement industry-standard security measures to protect data, including encryption in transit and at rest, secure authentication, and access controls. However, no method of electronic transmission or storage is 100% secure.
SMS Notifications
We send automated SMS notifications to business subscribers who opt in to our service. These messages contain caller information related to missed phone calls. Message frequency varies based on call volume. Message and data rates may apply. Reply STOP to opt out at any time. Reply HELP for support. We do not send SMS messages to consumers or callers. SMS notifications are sent only to phone numbers explicitly provided by subscribing business owners.
Your Rights
You may request access to, correction of, or deletion of your personal information at any time by contacting us at support@rapidresponsesystems.net. Business subscribers may cancel their subscription at any time with no penalty.
Changes to This Policy
We may update this Privacy Policy from time to time. We will notify subscribers of significant changes via email. Continued use of the service after changes constitutes acceptance of the updated policy.
Terms of Service
These Terms of Service govern your use of the Rapid Response Receptionist service provided by Rapid Response Systems LLC.
Service Description
Rapid Response Receptionist is an automated phone answering service for home services businesses. When a subscriber's business phone line goes unanswered, our service answers the call, gathers caller information through an automated conversation, and delivers that information to the subscriber via SMS.
Subscription and Billing
Subscriptions are billed monthly at the agreed-upon rate. All payments are processed through Stripe. There are no long-term contracts. You may cancel your subscription at any time. No refunds are issued for partial months. We reserve the right to change pricing with 30 days' notice to existing subscribers.
Acceptable Use
You agree to use the service only for legitimate business purposes. You agree not to use the service for any unlawful purpose, to harass or harm any person, or to transmit misleading or fraudulent information. We reserve the right to suspend or terminate accounts that violate these terms.
Service Availability
We strive to maintain 99.9% uptime but do not guarantee uninterrupted service. We are not liable for missed calls, delayed notifications, or service interruptions caused by carrier issues, third-party service outages, or circumstances beyond our control.
Limitation of Liability
Our service is provided "as is." We are not liable for any indirect, incidental, or consequential damages arising from use of the service, including lost revenue from missed calls or inaccurate caller information. Our total liability shall not exceed the amount paid by you in the preceding 3 months.
Termination
Either party may terminate the service at any time. Upon cancellation, we will deactivate your account and cease answering calls on your behalf. Call forwarding settings on your phone will need to be deactivated by you.

By subscribing to Rapid Response Receptionist, you agree to receive automated SMS lead notifications at the phone number(s) you provide during onboarding. You may opt out at any time by replying STOP, contacting us at support@rapidresponsesystems.net, or canceling your subscription.
